Job Description

The administrative and financial assistant position requires providing support and coordination at the highest levels, thus encompassing the following tasks and responsibilities: financial, administrative, human resources, and relevant coordination with information technology

Responsibilities
Oversee general office administration, including managing office supplies, equipment, facilities, and visitors’ inquiries
Handle incoming correspondence, emails, and phone calls, directing inquiries to the appropriate departments or individuals.
Handle the legal registration and documentation with relevant ministries and organizations
Coordinate the annual general assembly meeting
Prepare Meeting minutes (Staff meetings, General assembly meetings, procurement)
Coordinate the administrative matters of recruitment processes, preparing employee contracts, and job descriptions
Monitoring of attendance records, vacations and leave, and timesheets
Prepare payment requests related to general and administrative expenses and ensure all supporting documentation complies with the Association's regulations and policies
Accurately and promptly record accounting transactions in the Bisan accounting system
Conduct procurement tasks related to tendering, quotations, and agreements requirements per the association policies and procedures.
Follow up on the petty cash and handle all cash payments
Requirements
Knowledge of accrual accounting systems is a must
Excellent networking, planning, and organizational skills.
Good Command of English level (writing, speaking, reading), fluent Arabic
Proficiency with Microsoft Office (Word, Excel, PowerPoint)
